This privacy policy outlines how I, Dr Alex Rhys (trading as The Leadership Nook), collect, use and protect your personal data in line with the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.

1. Who I am

I operate as The Leadership Nook, a UK-based sole trader providing executive coaching, facilitation, training and speaking services.

I am the data controller of any personal information you provide through this website, in the course of working with me, or via newsletter sign-up.

No postal address is required under UK GDPR for sole traders and has therefore been omitted.

2. What data I collect

Depending on your interaction with me, I may collect and store the following information:

a) Website enquiries and bookings

  • Your name

  • Email address

  • Phone number (if provided)

  • Details you submit in a contact or discovery call form

  • Any further information you choose to share in correspondence

b) Clients and coaching relationships

  • Contact information

  • Session notes (if applicable and relevant)

  • Contractual or invoicing details

  • Any personal information you voluntarily disclose in the coaching or facilitation process

c) Newsletter and updates

  • Your name and email address

  • Subscription preferences

  • Consent record and opt-in date

d) Testimonials and feedback

  • Quotes or testimonials only used with your explicit written consent

  • Any published feedback will be anonymised and will not include identifying details unless you have agreed otherwise

3. How your data is used

I only use your data where necessary, and for specific, lawful purposes:

  • To respond to enquiries or requests for information

  • To deliver agreed coaching, facilitation or consultancy services

  • To manage appointments, invoices and payment records

  • To send newsletters or updates where you have actively subscribed

  • To maintain records in line with my professional obligations

Your data is stored securely using encrypted, password-protected systems such as email, scheduling tools, secure note-taking software and cloud-based storage. I do not store physical paper records.

Client notes (where recorded) are minimal and used to support ethical practice and professional supervision. These are stored securely and typically retained for up to 7 years, in line with good practice guidance.

6. Sharing your data

I do not sell or share your personal data for marketing purposes. Your data will only ever be shared if:

  • You have provided explicit written consent

  • I am legally required to do so (e.g. safeguarding or court order)

  • I am working in collaboration with another facilitator or associate, and you have been informed in advance

7. Testimonials and client feedback

Any client quote or testimonial used in marketing, reports or on my website will only be used:

  • With your written permission

  • In a form that is anonymised or non-attributable (unless otherwise agreed)

  • With the option to withdraw permission at any time

You are under no obligation to provide feedback or be featured in any promotional material.

8. Your rights

Under the UK GDPR, you have the right to:

  • Access the personal data I hold about you

  • Request corrections to inaccurate or incomplete data

  • Request deletion of your data (where appropriate)

  • Object to or restrict how your data is used

  • Withdraw consent at any time (where consent is the legal basis)
